Gmail Tips To Increase Productivity

by Brad Isaac on April 24, 2007

Easily one of the best web-based mail programs out there, Gmail has won the hearts of millions who love the features it offers individuals. If you’re already a Gmail user, you may know how truly productive this mail service can help you be, but here are a few tips you might not have discovered yet.

You can choose to autoforward some or all of your messages. If you’d like all of your mail forwarded to another account, click on “Settings,” then choose “Forwarding.” Click “Enable,” enter the e-mail address you want you mail headed to, then decide if you want Gmail to keep a copy or trash it. If you don’t want all mail forwarded, but you do want certain messages to reach another account, set up a filter to catch certain words or e-mail addresses, then choose the “Forward it to:” action.

If you’re like me, backing things up is a priority. Sure, Gmail is a reliable service, but I like to take extra steps to create a backup copy of everything. Be sure the POP download feature is active on your account, and make sure that your POP3 e-mail is working correctly. Go to Gmail’s “Forwarding and POP Settings” menu. Choose “Enable POP for all mail,” and be sure to save your new settings. You’re ready to download.

Love keyboard shortcuts? Gmail’s got plenty of them. Shift and “c” allows you to compose a message in a new window. “n” and “p” allows you to navigate between the next and previous messages. “u” refreshes your page. Want to report spam? Just hit “!” and it will stay out of your inbox. Need to forward that message? Hit your shift key and “f” and it will find it’s new recipient.
